Event Schedule Graduate Ticket Collection & Proceedings

For Session 1: If you choose to attend Session 1, Conferment of Honorary Degrees and All Degrees, your ticket will be emailed to you in the Arrival Kit for U-wide Session, you DO NOT have to collect any ticket on site. You should arrive at the Shaw Auditorium with cap & gown on at the required reporting time.

 

For Sessions 2 - 19: With cap & gown on, all Graduates should collect the Graduate Ticket at the Graduate Ticket Collection Counter (CMA Lecture Theatre L, Cheng Yu Tung Building) and then gather at the Main Hall located at G/F of the Shaw Auditorium for the ceremony.

Session 1
Nov 26, 2021 (Fri)

Conferment of All Degrees

 

Graduates, with cap & gown on, should be SEATED BY NO LATER THAN 10:30am, so please arrive the Shaw Auditorium by 10:00am to allow sufficient time for check-in and settling down. 

 

This session is open for registered graduates only. No guests will be admitted.

Graduate Ticket Collection

Graduate ticket for U-wide Session will be emailed to graduates in the Arrival Kit for U-wide Session. You DO NOT have to collect any ticket on site. Graduates should present the electronic ticket (in QR code format) in order to gain admission into the Shaw Auditorium.

DO's and DON'Ts

 

With cap & gown on, all graduates should arrive at the Shaw Auditorium before 10:30am. Late comers may not be allowed to enter the venue.

 

Prepare to show the electronic ticket (in QR code format) of the U-wide Session which was sent to you by email in order to gain admission into the Shaw Auditorium. 

 

DON’T BRING ANY BULKY OR VALUABLE PERSONAL ITEMS WITH YOU. Graduates will not be allowed to bring along items large in size such as flowers, dolls or backpacks into the Shaw Auditorium. The University will not be responsible for any loss of personal belongings.

 

SILENCE YOUR CELLULAR PHONE & ELECTRONIC DEVICES during the ceremony as the use of cellular phones is disruptive to both participants & guests.

 

DON'T LEAVE THE SHAW AUDITORIUM UNTIL THE END OF THE CEREMONY. As an expression of respect for all graduates & honourable guests, you should remain in your seat throughout the ceremony.

Session 2
Nov 26, 2021 (Fri)

PhD Graduation Ceremony – All Schools & IPO

 

PhD Graduates, with cap & gown on, should arrive on campus before 2:00pm (90 minutes prior to the commencement of the ceremony) for collecting the Graduate Ticket to gain admission to the Shaw Auditorium. 

Graduate Ticket Collection

The Stage Sequence Number, which will be emailed to you in the Arrival Kit 3 days before the ceremony, should be presented for the collection of the Graduate Ticket:

 

Collection Venue: CMA Lecture Theatre L (CYT-LTL), Cheng Yu Tung Building

Collection Period: 2:00pm – 2:50pm

 

After collecting the Graduate Ticket, you should KEEP THE GRADUATE TICKET in good condition with you ALL THE TIME in order to gain admission into the Shaw Auditorium and to be allowed to go up on stage.

Attending the Ceremony

After getting the Graduate Ticket, graduates should present the ticket for admission to the Main Hall located at G/F of the Shaw Auditorium before 3:00pm.

 

The entrance door number and seat number are printed on the ticket. When it is your turn to get on stage at the ceremony, you should pass the Graduate Ticket to the card reader on stage for reading your name. Late comers may not be allowed to enter the venue and will not be able to go up on stage if your degree award presentation is over.

Notes on Stage Proceedings (For PhD Candidates)

PhD graduates will be presented individually on stage and it is a fine tradition of HKUST that PhD graduates are hooded by their advisor at the ceremony. Please read through the below notes which will help you to familiarize yourselves with the related procedures across the stage.

 

Step 1:  Get Ready & Ascend the Stage

  • When it is your turn to go up on the stage, the marshal will signal you to leave your seat and direct you to proceed to the stage.
  • To get ready for going up on the stage, carry your Graduate Ticket in your right hand, your cap in your left hand and your hood over your left arm.  You will ascend the stage in pairs with your supervisor.

 

Step 2:  Hand your Ticket to the Card Reader

  • When you are on the stage, hand your Graduate Ticket to the card reader who is standing at the lectern.
  • Make sure your name is facing the reader to facilitate his/her reading.

 

Step 3:  Bow to the Officiator

  • In your session, hooding will be done in pairs.  There will be two marks, namely “A” and “B”, on the two sides of the central lectern.
  • After bowing, the 1st graduate occupies the “A” position and the 2nd graduate occupies the “B” position.

 

Step 4:  Get Hooded by the Advisor and “capped” by the Officiator

  • Hand your hood to your advisor. Your advisor will then turn you round to face the audience and place the hood around your shoulders.  When this is done, turn around to be capped by the officiator. After that, put your cap on.

 

Step 5:  Descend from the stage

  • After putting on the cap, descend from the stage by the staircase with your supervisor. Return to your original seat via a route as directed and be seated.

 

  • As an expression of respect for all graduates and their families, please remain seated throughout the ceremony.

School/ IPO-based Sessions (non-PhD)

 

Graduates, with cap & gown on, should arrive on campus 90 minutes prior to the commencement of the ceremony for collecting the Graduate Ticket to gain admission to the Shaw Auditorium.
